Are you organized, detail-oriented, and skilled at managing administrative processes?

We are looking for an Administrator / Document Controller to join our team part-time (50%-60%). In this role, you will be essential in ensuring our maintenance department operates smoothly by handling administrative tasks and document management. 

As , you will provide crucial support to our maintenance team, handling documentation, preparing reports, and maintaining the document management system. Your work will include supporting procurement activities, expediting timesheets, materials, certificates, and related maintenance documentation, ensuring all technical documents are properly tracked and accessible according to compliance standards. 

Key Responsibilities: 

  • On behalf of the maintenance team, support the registration of purchase requests/orders in the required systems. 

  • On behalf of the maintenance team, expedite, collect and store maintenance related documents and reports. 

  • Ensure adequate document storage in the document management system according the company standards. 

  • Liaison with contractors for timely retrieval of documents and reports. 

  • Support the maintenance team with periodic maintenance performance (KPI) reports. 

  • Support during internal and external audits in maintenance document and data retrieval. 

  • Report to technical manager and maintenance discipline engineers in the quality performance of document registration. 

  • Validate the minimum document and data requirements of received documents. 

  • Ensure that the maintenance documents and inspection reports are tracked, stored  and retrievable according compliancy requirements. 

  • Support the external and internal audits in maintenance and ensure that required maintenance data is adequately stored and traceable. 

  • Seek ways to improve administrative maintenance processes. 

Job requirements

  • Proven experience in managing and organizing documentation, ensuring accurate collection, review, and storage of essential documents. 

  • Prior experience in a technical or maintenance-related environment, allowing for familiarity with the unique demands and workflows of such settings. 

  • Basic understanding and knowledge understanding of technical documents and the ability to read, interpret, and manage them accurately. 

  • Competence in the use Microsoft Office Suite applications, presentation tools and programs. 

  • Strong team player capable of working closely with maintenance staff and providing administrative support that aligns with overall team goals. 

  • Pragmatic, results-focused, and proactive, with strong problem-solving abilities and excellent planning, scheduling, and organizational skills for managing personal activities. 

  • Proficient in reading and writing in both Dutch and English.  

  • Confident to address issues with third parties with ability to solve them.
